Permissions of the Docubird app
When Docubird is installed, Microsoft asks for permission to grant the necessary permissions. These permissions are necessary to enable normal user actions, just as you work with SharePoint or Teams. Docubird does not perform independent actions or process data outside your Microsoft 365 environment.
How Docubird handles permissions
Docubird works entirely on behalf of the logged-in user. That means:
- All actions (such as move, edit or save) are performed only in response to your own action.
- Data remains entirely within your own Microsoft 365 tenant; Docubird does not store anything outside this environment.
- Docubird never has more rights than you do.
You give permission to technically execute your own assignments within Microsoft 365.
Explanation of extracted rights
Read the names and descriptions of channels
This will read and display the names and descriptions of Teams channels, allowing you to easily navigate to the correct team or channel from within Docubird.
Send channel messages
Required for custom Microsoft Power Automate integration, which allows organizations to have automated notifications or approval updates placed in Teams channels.
Create chats
This authorization supports custom Microsoft Power Automate integration, which allows organizations to automatically launch Teams chats.
Reading and writing your instant messages
With this authorization, custom Microsoft Power Automate integrations can read or supplement Teams chats so that communications can be updated directly within Teams.
Read all files you have access to
Allows you to show all files you can open in SharePoint, Teams or OneDrive. Docubird only shows files for which you have permissions.
Full access to your files
Required to create, modify or delete files when you perform an action in Docubird (e.g. save or move a file). Docubird has no access to files outside your rights in this process.
Reading user sensitivity labels and label policies
Ensures Docubird can correctly display, filter and respect documents with security or classification labels within Microsoft 365.
Read and write access to your email
Required for saving emails and attachments from Outlook to SharePoint, Teams or OneDrive. Docubird reads and writes only within mailboxes to which you have access.
Read and write emails that you have access to
Allows saving emails from shared mailboxes. Write permissions are only used to add categories such as "Saved to SharePoint," "Saved to Teams" or "Saved to OneDrive."
Sending email with you as the sender
Within Docubird, you can use the Save and Send function in Outlook. This allows you to send and archive an e-mail in one operation.
Reading and writing to your inbox settings
Provides access to mailbox settings to manage categories indicating where an email is stored. Required for proper operation of Docubird for Outlook.
Reading your list of relevant people
Allows you to search Docubird for files created or edited by a colleague. So you can easily navigate to documents of colleagues with whom you often work.
Edit or delete items in all site collections
Required to edit or delete files in SharePoint, based on your own user rights. Docubird performs these edits only after your command.
Log in and read your profile
Needed to sign in to the app and display basic information (such as name and email address) within Docubird.
Read basic profiles of all users
Let Docubird display names, e-mail addresses and profile pictures of colleagues, for example, in search results or file activity.
Read the names and descriptions of teams
Allows display of Teams names and descriptions for easy navigation to the correct team.
Maintain access to data to which you have granted access
Some actions - such as saving large numbers of emails - should be allowed to continue in the background, even if you continue with other work in the meantime. This right does not provide additional access, but allows background processing within existing permissions.
