Searching for files more efficiently

Whether you know exactly where a file is or not, Docubird lets you find it quickly. You can search within a specific library or across all locations. Here's how the various search functions help you find the right file faster.

Search bar (with or without Strict Search)

General search

The search bar at the top of your Docubird environment works similar to SharePoint's. You get results from all the underlying file locations where the search term appears; in the name, in metadata or in the content of files. Already know which library the file is in? Navigate there first to get more targeted search results.

Searching with Strict Search

Enable the Strict Search option in the search bar to only see results where the search term appears in the actual folder or file name. If you know (part of) the name, this will give you accurate results quickly, without unnecessary extra hits.

Filtering on metadata

Use the filter icon within a document library to view the available metadata fields. For example, you can use this to search by customer name, project, status or document type. The available metadata fields depend on your organization's setup.

Searching by metadata helps you filter quickly, and in some organizations can even replace the traditional folder structure. As long as you know the correct document library, you'll never have to remember which folder a file is in.

Advanced Search

Advanced search allows you to combine multiple search criteria, such as:

  • keyword or name part
  • library
  • content type
  • creation date
  • final editor

Docubird searches not only file names, but also the metadata associated with documents. Thus, you can also find files whose names do not exactly match, but whose content or metadata is relevant.
