Assigning, adding or removing licenses
After the initial purchase, you can manage the number of Docubird licenses through the Microsoft 365 management center. Here you can easily purchase additional licenses as the organization grows, or remove licenses when employees leave employment. The steps below show you how to adjust this.
Managing Docubird licenses
After initial purchase, licenses can be managed through the Microsoft 365 management center.
- Go to the Microsoft 365 admin center.
- Open the Billing > Your Products tab.
- Select the Docubird licenses.
- Click Buy Licenses or Remove Licenses.
- Increase the number of licenses.
Buy licenses - Use this option to increase the total number of licenses, for example when hiring new employees or wider adoption within the organization. Microsoft processes the expansion administratively, after which the additional licenses are automatically activated (see "2. Assign licenses to users").
Delete licenses - Use this option to reduce the total number of licenses, for example when an employee leaves employment. Important: first remove the relevant user in admin.docubird.com before scaling down licenses. This prevents Microsoft from automatically revoking a license from any employee.
Assigning licenses to users
- Are there employees who tried to access Docubird without licenses available? If so, licenses are automatically assigned to the last 2 people who tried to log in.
- If that does not apply or licenses remain free, they are automatically assigned to the next users who start Docubird.
Login can be done via app.docubird.com or through our Outlook or Office add-ins.
Docubird does not affect the automatic assignment process, but it does provide insight: administrators can access the process via admin.docubird.com see which employees have been granted a Docubird license. Here, users can be removed to make their license available to others again.
